Spreadsheets are the most used business software in the world, and rightly so: flexible, familiar to everyone, instant to start. The problem is not the spreadsheet, it is the moment the company grows and the spreadsheet becomes the central system of the business without ever being designed for it.
Five signs you have outgrown spreadsheets
- There is a “right version” of the file and nobody is sure which one it is. The file travels by email or chat with names like
records_final_v3_fixed.xlsx. - Someone enters the same data in two places. An order is typed into the spreadsheet, then into the invoicing software, then into the email to the courier.
- Reporting takes days. At the end of the month or year, one person spends two weeks compiling numbers from several sheets.
- There is no history. Who changed the price? When? Why? Nobody knows.
- Clients or colleagues call you for information from the sheet. Because only you have access, or only you understand it.
If you tick three out of five, a custom application probably pays for itself in under a year.
A concrete example: the Cotoșman Association
The association kept aid cases in one sheet, donors in another, receipts in a binder. The annual report to funders took almost two weeks. We built an application with six modules: cases, donors, donations, expenses, volunteers, documents. Every donation generates the donation deed automatically. Expense receipts are photographed and read automatically.
The annual report now takes a day. But the real gain is different: anyone on the team can see the full history of a case in ten seconds.
What the transition looks like
You do not start from scratch. Your spreadsheet is the best specification you can give: columns are fields, sheets are modules, formulas are business rules. We migrate the existing data, nothing is lost.
The first version covers what hurts most. We do not build everything at once. We pick the workflow that eats the most hours per week and deliver it in 4–8 weeks. The rest comes in stages.
The spreadsheet does not disappear. It stays for ad-hoc analysis, and the application exports any list to Excel in one click. The difference is that the source of truth lives in one place.
What it costs and how long it takes
A typical internal application (records, clients, orders, reports) costs between €3,500 and €15,000, at a fixed price after the specification, plus a hosting and maintenance plan from 349 lei per month. The first usable version is ready in 4–8 weeks.
For comparison: a person losing 5 hours a week copying data between sheets costs the company over €3,000 a year, before counting errors.
The alternative: off-the-shelf software
Sometimes the right answer is not custom software but an existing product: invoicing software, a standard CRM, an inventory system. We tell you honestly at the first call. Custom software makes sense when your processes are specific, when existing products force you to change how you work, or when their per-user cost grows beyond what your own application would cost.
If you want to check where you stand, write to us about what you keep in spreadsheets today. We tell you within a day whether an application makes sense and what it would cost.
